STUDIO POLICIES
BOOKING POLICY
All bookings for the studio space will be managed through bookings@apurtureone.com. Availability can be ascertained by checking the calendar on the studio’s website and then sending an email to request a booking or a reservation/hold for specific dates. The email should include the date, time and the type of product that will be taking place in our studio. We will then respond with availability and pricing.
Bookings or reservations can be made at any time and will be confirmed within 48hrs.
All bookings must be processed online through apurtureone.com, our pricing is always up to date and availability is shown on the booking calendar for you to choose your time slot.
INSURANCE
All rentals with Apurture One require clients to provide insurance coverage for Commercial Liability and Production Liability for Studio Rentals, and Replacement Cost coverage for Equipment rentals. Payment arrangements will need to be finalized before the service can be offered. Please contact us to discuss options.
If you carry commercial insurance, you can expedite the booking process by requesting a Certificate of Insurance (COI) from your broker naming Apurture One as Additionally Insured and Loss Payee and sending that to us. If you have any questions regarding insurance, please don’t hesitate to contact us, we’re happy to help!
PAYMENT
Apurture One offers a downloadable PDF that you can print, sign, scan, and return to us via email. This form will authorize both payment and acceptance of the contract agreement for the use of our studio.
CONFIRMATION POLICY
In order to confirm any holds on any studio spaces, a COI and credit card must be submitted. A 50% deposit will be processed 1-3 business days in advance of the booking, as well as a pre-authorized hold for the remaining 50%. 1-3 business days after your booking, the pre-authorized hold will be processed for the remaining amount.
CANCELLATION POLICY
Cancellations must be communicated in writing to the Manager 5 business days prior to the booking date. Failure to provide proper notice will result in the loss of a 50% deposit on your total studio and equipment costs on your reservation. If you cancel within 12 hours of your booking time, you will be liable for the full value of the contract including equipment rentals.
PUSH POLICY
If a client is second in line for a studio (second-holding), they may request to ‘push’ the first-holding client to confirm or release. A client may only request to push if a credit card is on file and the client is prepared to pay a 50% deposit. Failure to confirm or release within a 24-48 hr deadline, as determined by the Manager, will result in the loss of the hold, and the studio will go to the second-holding client. Upon gaining a studio via push, the client must confirm, submit a COI, and will be charged a deposit.
DAMAGE FEES & CLEANING
You must take care when using any facilities, machines and equipment within the Space, and to not damage or mistreat any equipment or facilities provided by us. Any damage caused to Apurture One’s property due to negligent, deliberate, carelessness, or unwarranted behavior, shall be charged to the Renter’s credit card even if the cardholder did not personally damage any property. The Renter is responsible for the entire party that accompanies them. If the credit card on file is not able to be charged for any reason, Apurture One will pursue other means of collection.
You must not alter any part of the appearance of the Space in any way. You will be liable for any damage caused by you and/or anybody accompanying you.
Please, take off your shoes if you need to step on the furniture. Indoor shoes or shoe covers should be used when stepping on the white flooring. Shoe covers may be used if needed. If you are taking pictures in your outdoor shoes, make sure to wipe them down.
When moving the furniture, please lift the items instead of dragging them. This damages both the floors and furniture legs. In case of any damages to the floor / furniture / props or any other studio equipment you will be asked to reimburse the cost of the damages.
The Studio must be vacated on time. Set-up, breakdown, cleanup, pack-up are all included in the reserved time that was scheduled and agreed to. If a Renter continues to stay past the allotted time, a fee of $20 per 15-minute period beyond the reserved time will be imposed on the Renter’s credit card. Apurture One’s staff and/or management will signal when 15 minutes is left in the session to tastefully indicate a good time to end the session and return the Space to its original condition.
At the end of your session, you MUST return the studio to the same state it was given to you. You must clean up all garbage, clean the cutlery (dishes, cups, forks, etc.) you used and sweep the studio if there is any debris you left on the floor. If cleaning/reorganizing/adjusting/repainting is necessary to return the Space to its original state, you WILL be charged a $250 cleaning fee.
All of the equipment provided will be accounted for before and after each session. If anything is missing, the Renter will be charged the retail “new replacement” value for that item. It is the Renter’s responsibility to notify Apurture One of any missing inventory/equipment before the session starts otherwise the Renter is held liable for any missing equipment/inventory at session end.
RESTRICTIONS
You are not permitted to smoke in the Space, or within 30 meters (100 feet) of any Space entry or exit. No alcoholic beverages or non-prescription drugs shall be brought into the Space. Anyone who is drunk or under the influence of illegal substances will not be allowed in Apurture One.
Please also note:
- No open flames or pyrotechnics (candles must be glass-enclosed)
- No fog-producing equipment (without prior approval)
- No fireworks, sky lanterns and any other incendiary items
- No permanent markers of any kind
- No holes may be made in the walls
- Only painter’s tape or command hooks may be used to attach items to the wall or temporarily fix decor
Renters are responsible for any surfaces that are damaged by décor. All décor must be removed by the end of the rental agreement.
OTHER TERMS & CONDITIONS
- You must comply with all laws and regulations when conducting your business activities and may not use the Space for any unlawful or immoral activity. Such activity shall constitute a material breach and services shall immediately terminate without adjustments or reimbursement.
- You may not obstruct any other person(s) business activities or create a nuisance, annoyance or mistreat any persons including our employees.
- You must keep noise levels as to not disturb any of Apurture One’s neighbours. Music/voices are to be kept at reasonable levels and not contain vulgar or offensive lyrics or words. If your actions lead to any complaints by neighbours, your session may be terminated by Apurture One after one (1) written notice via email of noise complaints but the situation is not rectified.
- For the duration of the pandemic, all Covid protocols must be followed as issued in accordance with Ottawa Public Health.
- Apurture One is a privately owned space; however, there are security systems in place that include cameras. These cameras do not capture makeup/changing areas and do not cover the entire Space. Additionally, camera contents are never broadcast, shared, or used in any other way than to provide risk management for Apurture One. Your privacy is just as important to us as your safety and Apurture One agrees to this promise of privacy. You and any associates that are with you as the “booking party” are hereby notified of these security systems including cameras. Tampering or in any way manipulating security system equipment may result in criminal charges and a permanent ban.
- If the Renter or any individual which the Renter has invited into the Space should violate any items of this agreement, Apurture One shall have the right to terminate their current reservation immediately as well as deny them services in the future.
- Apurture One reserves the right to inspect the equipment and/or studio at any time during the rental term.
- You can use any outside caterers for your events, but your caterers must have insurance and will be subject to a landmark fee. A Landmark fee (also called commission fee) is a percentage of a caterer’s or supplier total invoice that is paid to the venue for operating within that venue. This fee is applied to the client on the caterer’s invoice, which then gets forwarded to us.
- No pets are allowed without the prior consent of Apurture One Management.
- Maximum of eight (8) people per booking (which includes the Renter). Ask ahead if you have a larger group.
- If the Renter brings any models into the space, the Renter shall be responsible to have them sign a Model Waiver Form with Apurture One.
